RingToRoute is an AI answering service and front desk for HVAC and plumbing shops. It picks up every call, day or night. It flags emergencies, books routine jobs into your open time windows, and texts back callers you missed, so your techs stay on the job and the phone still gets answered.

PilotMonth-to-month. Start with a 30-day paid pilot for $250, and we credit it toward setup if you stay.

§ 02 — How it works

Live in about a week. You keep your number.

We set everything up for you. You don't configure software or learn a new app.

  1. Stop 01 · Setup call

    We learn your shop

A 30-minute call covers your services, service area, trip fee, hours, on-call rotation and what counts as an emergency. We write the call script around how you already work.

  2. Stop 02 · Forwarding

Calls forward to your AI front desk

You choose when: after hours only, when nobody picks up within a few rings, or all the time. Your existing number stays the same.

  3. Stop 03 · Results

    Jobs land where you work

Booked jobs, emergency pages and call summaries go to your calendar, your phone and your inbox. You get a short report every week.

§ 03 — What it handles

Built for heating, cooling and plumbing calls

Priority · Now

Emergency triage

Checks for gas smell, CO alarms, no heat in freezing weather and active leaks. Safety calls get safety instructions first, then the on-call tech is paged or the call is warm-transferred under your rules.

  • Gas smell
  • CO alarm
  • No heat in freezing weather
  • Active leak
Schedule

Booking into time windows

Collects name, address, issue and equipment details, then offers real arrival windows like "8–12" or "12–4". It can also reschedule and cancel.

Nights · Weekends

After-hours & overflow

Covers nights, weekends, holidays and the Monday-morning rush when every line is busy. It follows your after-hours fee and on-call rules.

Text-back

Missed-call text-back

If a caller hangs up before anyone answers, they get a text from your business number within a minute so the conversation keeps going. Texting turns on once carrier registration is approved.

Weekly

Reports you'll actually read

A weekly email lists calls answered, jobs booked, emergencies and calls that need a callback, with recordings and transcripts for every call.

House rules

Honest by design

Every call opens with a recording notice, and the assistant says it's an AI. It never pretends to be a person, never quotes prices you haven't approved, and only texts callers who agreed to it.

§ 05 — Demo

Call it yourself. Try to break it.

The demo answers for Summit Comfort Heating & Plumbing, a made-up Denver shop. Ask about a leaking water heater, a dead AC or a smell of gas, and you'll see how it handles each one.

§ 06 — Do the math with your numbers

What are missed calls costing you?

Put in your own numbers. The fields start with example values, not industry statistics.

Estimate only: it multiplies the three numbers, assumes a 4.33-week month and leaves out repeat business and memberships.

§ 09 — FAQ

Questions owners ask us

Something we didn't cover? Send us a message or book a 15-min call.

Q.01Will callers know they're talking to an AI?

Yes. The greeting says it's a virtual assistant for your shop, and if anyone asks, it confirms it's an AI. Some states have AI disclosure laws (for example California's B.O.T. Act, Utah's AI Policy Act and Maine's 2025 chatbot law), and being upfront is simply better for your reputation. Callers can ask for a person at any time, and the call follows your transfer or callback rules. More in our AI & recording disclosure.

Q.02Are calls recorded? Is that legal in my state?

Calls are recorded and transcribed so you can review them. Every call opens with "this call may be recorded". That notice is required in all-party-consent states such as California, Florida, Illinois, Pennsylvania and Washington, and we play it in every state. You choose how long recordings are kept.

Q.03Does it work with Jobber, Housecall Pro or ServiceTitan?

Out of the box it books into a shared Google Calendar or sends a structured job ticket to your dispatcher. We can connect Jobber or Housecall Pro for your account during onboarding (Housecall Pro's API needs their MAX plan). ServiceTitan is on our roadmap but not available yet. We'd rather tell you that now than surprise you later.

Q.04What happens with a real emergency?

You set the rules. A typical setup: a gas smell or CO alarm gets safety instructions first (leave the house, call 911 or the gas utility), then the on-call tech is paged. No heat in freezing weather or an active leak gets an immediate page or warm transfer. Anything else gets booked into the next open window.

Q.05Does it make outbound sales calls or send marketing texts?

No. We only answer calls coming in to you. Texts are limited to things the caller asked for or agreed to on the call, such as confirmations, reminders and the reply when we missed them. Every text includes opt-out instructions, and STOP always works. See our SMS Terms.

Q.06Can I cancel?

Yes. Plans are month-to-month with no long-term contract. Cancel before your next billing date and you won't be charged again. We'll help you forward your number back and hand over your recordings and call data.

Q.07Who's behind RingToRoute?

RingToRoute is a small, founder-run company built for US home-service shops. You'll work with the founder directly, and support hours cover US business hours. We're new, so we don't have case studies yet. That's the reason the pilot exists.

Q.08What about my customers' data?

Call data belongs to you. We use it only to run the service for you, and we don't sell it or use your customers' numbers for marketing. Details are in our Privacy Policy.

§ 10 — Next step

Stop sending jobs to voicemail.

In 15 minutes, we'll go over how your calls come in today, play the demo, and tell you plainly whether we're a good fit.
